We are looking for a Program & Administration Assistant to join our team to support our business development, project management, and knowledge management activities in global health, under the supervision of the Finance and Administration Manager and in close collaboration with HMST program team. The Program & Administration Assistant will work from home on a full-time or part-time basis (negotiable). Candidates must be based in the Netherlands. Qualifications and experience Bachelor degree in Public Health, Management, Administration, or similar field. At least 3 years experience in similar position. Fluency in English is required. French skills are desirable. Strong attention to detail and commitment to quality is a must. Excellent organisational and communication skills. Ability to be pro-active and work autonomously as part of a virtual team. IT skills required, including experience working with Microsoft 365. Database management experience preferred, e.g. Access. Website and graphic design software skills desirable. Keen interest in global health and communicable diseases an advantage. Experience in working in multi-cultural settings and sensitive to cultural diversity. Experience in proposal development, including budget development, and project management an advantage. Experience working with institutional donors such as Expertise France, LInitiative, The Global Fund, UN agencies desirable.

Program Administrative Support: Proactively maintain the HMST consultant database, in close collaboration with the program team. Maintain the portfolio tracker and manage project files. Assist the program team to respond to tenders by ensuring the timely, accurate and correctly formatted availability of key documents and annexes. Issue mission orders to traveling consultants in a timely manner. Review and follow up consultants timesheets, travel expense reports and receipts. Document formatting to ensure that documents conform with HMST visual identity. Other Assistance Regularly update the HMST website, LinkedIn, and other media platforms in coordination with the Program team. Contribute to generating analyses, communication and promotional content. Support the preparation of, and attend, quarterly in person HMST review workshops.
