As Project assistant you will have a high level of accuracy, good time management skills, and the ability to work using your own initiative in order to provide successful pro-active support. You will be keen to take on fresh challenges, and willing to develop your knowledge within your role - always working towards satisfying the department and client requirements.
Duties & Responsibilities:
  • Provide and coordinate administrative support to the Project Manager, allowing them to focus on their core duties.
  • Assist the Project Manager in tasks such as time keeping, communications and statistical reporting.
  • Ensuring all urgent and/or confidential communications are received and distributed to relevant parties in a timely manner
  • Preparing agendas, distributing feedback and follow-up checklists from meetings.
  • Organising and planning external events.
  • Prepare project related travel arrangements together with Office assistants
  • Creating and maintaining project mailboxes
  • Preparing commissioning/ cost overviews for invoicing
  • Assisting the start-up of Letter of Credit process
  • Provide assistance with Concur/ Declarations
  • Training and education coordination
  • Coordinate official certificates, incl expirations
  • Register and coordinate technical trainings, including feedback
  • Register conference attendance, including feedback
