The Office Manager organizes and coordinates all the administrative activities that facilitate the smooth running of an office. In this position the OM acts a focal point for day-to-day issues related to administration-, back office- and facility management. The Office Manager provides administrative support to the local management, HR, Finance, and employees on a need to basis. You'll be responsible for: Oversee the day-to-day activities in the office Accurately manages Lenovo’s complete digital and physical filings system in compliance with GDPR Manages the incoming and outgoing (registered) mail and couriers Responsible for company parking arrangement Maintains office stationery, beverages Actively manages the Car Fleet administration Administers Lenovo’s compulsory statistics reporting to the authorities Indirectly manages the third-party facility services providers and cleaning company Focal point for environmental affairs, utility services and real estate Responsible for Pension administration Acts as the process gatekeeper to ensure effective onboarding of new employees and offboarding with leavers in close cooperation with HRP and hiring manager (also remote) Other relevant duties/projects management may require, for instance organizing team meetings, events, Xmas gifts, lunches etc. Responsible for GAMS (assets management) Backup for Accounts Payable during vacation and sickness Effectively manages the purchase order process Accurately administers the invoicing process You'll bring: Bachelor’s degree or equivalent working experience Fluency in Dutch and English, written and spoken Previous experience in office manager function and/or Financial Administration (Pre in international environment) Ability to maintain a high level of accuracy in preparing and entering information Customer focused and self independent worker Knowledge of office administration Experience with data information systems Expert MS Word, Excel, PowerPoint We are an Equal Opportunity Employer and do not discriminate against any employee or applicant for employment because of race, color, sex, age, religion, sexual orientation, gender identity, national origin, status as a veteran, and basis of disability or any federal, state, or local protected class.
